About the role:
As the Administrative Assistant, you will support the Group Executive Director and US leadership team with business administrative tasks and projects.
Key responsibilities:
- Responsible to manage the calendar of the Group Executive Director by filtering and prioritising all tasks and activities.
- Secretary of the internal committees: responsible to define the agenda, select the attendees, prepare the meeting minutes, monitor the follow up and execute the decisions through the IT systems.
- Act as a liaison between Executive Director and the leadership team to coordinate activities within the organization.
- Book travel for the CEO & President
- Reconcile the CEO & Presidents expenses for reimbursement
- May need to run errands to pick up coffee or support transporting the president
Essential Criteria
-
• 1-2 years previous administrative experience.
• Advanced and well-developed experience in a similar role within an ability to provide administrative support to the Group Executive Director.
• Project management experience within a fast paced and agile environment.
• Able to work independently with strong attention to detail and problem-solving skills.
• Excellent interpersonal, relationship building and stakeholder management skills.
• Able to demonstrate self-starting behaviours and a habitual use of own initiative.
• Organised, reliable and results driven with excellent time management skills.
• Proficient in Microsoft Office with the aptitude to learn new software and systems.
• Experienced in collaborating across multiple functions/stakeholders.
• Resilient: Thrives whilst working in a fast-paced environment, under pressure and to strict deadlines without compromising on accuracy and attention to detail.
• Excellent communication skills; both verbal and written.
Desirable Criteria
- Experience within a similar role within the automotive industry.
- Associate's degree.
- Project management qualification(s).
- Proficiency in Chinese language is a plus.
